Challenge

Around 50 projects a year, each on its own SharePoint site — and no portfolio view for leadership.

Every PrimusVT project lived on its own SharePoint site. At roughly 50 projects a year, that meant no portfolio-level view for leadership, inconsistent structure and data from one site to the next, and a manual effort every month to roll up financials, issues and status. Spinning up a new site each time slowed project setup, and there was no easy way to see portfolio health at a glance.

Approach

One Canvas-app PMO platform across the whole portfolio, packaged for clean, repeatable deployment.

Cloudbliss built a Canvas-app PMO platform that centralises project management across PrimusVT's portfolio, backed by SharePoint and integrated with Office 365. Built for tablet use, it gives admins and project teams a single hub covering project details, schedules (milestones and tasks), governance, financials and spend planning, monthly reporting, issue tracking, events and announcements.

A structured SharePoint back end of ten lists holds it together, Office 365 Users integration handles people lookups, and role-based permissions keep data appropriate to each user — admins create and manage projects; users handle everything within them. The whole thing is packaged as a managed Power Platform solution for clean, repeatable deployment.

It was delivered by a single developer working with PrimusVT's IT manager, in roughly 20 hours of focused build, on standard licences with no additional licensing.

PrimusVT went from 50+ disconnected project sites a year to one platform, with consistent project structure and data across the portfolio, ending the PM-by-PM variation. Leadership gained portfolio-level visibility that was previously impossible, governance, financials and monthly reporting are centralised, and project setup is faster with no more individual SharePoint sites to spin up.

Role-based access keeps data appropriate to each user, and because it's packaged as a managed solution, it's a scalable foundation that grows with the portfolio.
