Challenge

A weekly manual report ritual — and a fragile citizen-developer dashboard the business couldn't trust or grow.

Every week, finance exported data from a legacy Sage system, loaded it into Excel, and manually reconfigured and refreshed the same report by hand. A prior Power BI build — put together by a citizen developer without proper Power BI expertise — had left the business with something fragile and unreliable, and no scalable way to manage permissions or targets. They had a dashboard, but they couldn't trust it and couldn't grow it.

Approach

A proper 11-page Power BI suite on a single source of truth — with a self-service admin layer finance runs themselves.

Cloudbliss built a full Power BI reporting suite connected directly to the client's SQL data source (fed from Cin7), giving the business a complete view of sales performance. The 11-page report spans an executive dashboard, sales performance, daily sales tracking, sales-rep analysis by product group, targets, invoice payments, credit notes and admin data views, plus an email-distribution page for automated reporting.

Row-level security runs across three tiers — reps see only their own sales, division managers see all data for their division, and admins see everything. Behind the report sits a Power Apps and SharePoint admin layer, so finance can manage targets, permissions and matrix data as the business grows, without developer involvement.

It was built by two Power BI developers working directly with the finance department and directors, and has been developed continuously since as the business has evolved.

Outcome

Half a day of weekly manual prep eliminated — on a single source of truth finance manages itself.

The half-day weekly rebuild is gone — roughly 200 hours a year saved on Excel rebuilds alone — replaced by a single source of truth with reliable, automated refreshes that end the manual reconfiguration errors. Reps get real-time visibility of their own performance, division managers self-serve their numbers without waiting on finance, and target tracking and accountability are clear across the business.

The fragile citizen-developer build has been replaced by a professional, maintainable one — reliable, performant, and designed to grow — with a scalable admin layer finance runs without a developer.
