Project Details

Joint Operations’ marketing department was managing event assets through paper-based processes. There was no reliable visibility of where assets were, what condition they were in, whether they were already booked, or whether they had been damaged or lost after an event.

Cloudbliss built a Power Apps Canvas application backed by SharePoint to create a central asset and event management platform. The system catalogues all event equipment with key metadata including condition, location, maintenance history, and photos.

The app allows the marketing team to create event bookings and automatically assemble asset kits based on the event requirements. Availability logic checks date ranges to prevent double-booking, while automated pick lists make it easier to prepare for dispatch.

Barcode and QR scanning through the device camera supports both dispatch and returns. On-site additions can be recorded, returns can be checked against the original dispatch, and photo capture provides evidence for damage, loss, or condition changes.

Sales reps have view access to the asset catalogue and availability calendar. They can also submit event requests, which route to the marketing department for review and approval.

The project was delivered by 1 developer, working directly with the marketing department as the key stakeholder.
